These practice terms describe the main agreements between DentalPro dental practice and its patients. The terms cover appointments, treatments, information, costs, payment, cancellation, privacy and complaints.
These practice terms apply to all dental care and services provided by DentalPro dental practice, unless otherwise agreed in writing.

- Scope of these practice terms
These practice terms apply to all appointments, treatments, check-ups, consultations and other dental services provided by DentalPro.
The term “patient” also includes a parent, carer, legal representative or any person acting on behalf of the patient, where permitted by law.
If any provision in these practice terms is found to be invalid, the remaining provisions will continue to apply.
- Treatment agreement
When you make an appointment or start treatment at DentalPro, a treatment agreement is created between you and the practice.
DentalPro provides dental care according to professional standards. Treatment is tailored to your oral health, symptoms, wishes and the available dental options.
For proper treatment, it is important that you provide DentalPro with correct and complete information about your health, medication use, allergies, symptoms and previous treatments.
- Information and consent
DentalPro provides information about your oral health, possible treatments, risks, alternatives and costs. You will have the opportunity to ask questions before treatment is carried out.
Treatment takes place after you have been properly informed and have given your consent. For simple or common treatments, consent may also be implied by your presence and cooperation during the appointment.
For children and minors, the legal rules on consent by the parent, carer and/or child apply.
- Making appointments
You can make an appointment by phone, email, contact form or through a possible online appointment planner.
When making an appointment, DentalPro may ask for your name, contact details, date of birth, symptoms and the type of appointment you need.
An appointment is only final once it has been confirmed by DentalPro.
- Arriving on time
Please arrive on time for your appointment. If you arrive late, DentalPro may decide to shorten the treatment or schedule a new appointment.
If treatment can no longer be carried out properly or safely because you arrived late, DentalPro may unilaterally reschedule the appointment.
- Cancelling or changing an appointment
If you cannot attend your appointment, please let us know as soon as possible.
DentalPro asks patients to cancel or change an appointment no later than 1 working day in advance. This allows the reserved time to be offered to another patient where possible.
If you do not attend or cancel too late, DentalPro may charge costs for the reserved time.
- Emergency
In case of emergency or acute pain, you can call DentalPro via the emergency number: +31 6 53867297
Do not use an online form for emergencies. Calling is necessary so that the complaint can be assessed immediately.
In life-threatening situations or serious injury, always call 112.
- Fees and costs
DentalPro charges dental treatments according to the applicable fees and rules for oral care.
For certain treatments, material and laboratory costs may apply in addition to treatment costs. This may be the case for crowns, bridges, implants, veneers or other dental laboratory work.
DentalPro will inform you as clearly as possible in advance about the expected costs of treatment.
- Cost estimate in advance
Where legally required, you will receive a cost estimate before treatment.
Even if a cost estimate is not legally required, DentalPro may, on its own initiative or at the patient’s request, prepare a non-mandatory cost estimate.
For more extensive treatments, DentalPro discusses the costs, treatment options and any alternatives with you. If it becomes clear during treatment that the costs will differ significantly from what was expected, DentalPro will discuss this with you beforehand where possible.
A cost estimate is an estimate. The final costs may differ if additional or different care turns out to be necessary during treatment.
- Reimbursement by health insurer
You are responsible for checking your insurance and any reimbursement by your health insurer.
DentalPro can provide information about treatments and costs, but cannot guarantee that your health insurer will reimburse a treatment fully or partially.
If in doubt, contact your health insurer before having treatment carried out.
- Payment
The costs of treatment are payable by the patient or, where applicable, by the parent, carer or legal representative.
DentalPro may send invoices itself or use an external billing or factoring party. If DentalPro uses an external party, data will only be shared where necessary for billing and payment.
Invoices must be paid within the payment term stated on the invoice.
In case of late payment, reminder costs, collection costs and statutory interest may be charged, insofar as permitted by law.
- Minor patients
For minor patients, the legal rules on consent for treatment and payment apply.
For children under the age of 12, consent from the parent or legal representative is required.
For children aged 12 to 15, consent from both the child and the parent or legal representative is generally required.
From the age of 16, the patient generally decides independently about treatment.
The parent or legal representative is responsible for payment in all cases.
For patients who are under administration, guardianship, curatorship or another form of legal representation, the rules on representation apply as much as possible in the same way. DentalPro may assume that the patient who appears for an appointment has obtained the necessary consent from the administrator, guardian, curator or other legal representative, unless DentalPro has been informed otherwise in advance.
- Medical information and changes
Always inform DentalPro of changes in your health, medication use, pregnancy, allergies or medical situation.
This information may be important for safe treatment.
If you provide incorrect or incomplete information, this may affect the treatment and treatment result.
- Treatment result
DentalPro carries out treatments carefully and professionally. DentalPro has a best-efforts obligation and not an obligation to achieve a specific result. This means that DentalPro makes every effort to carry out the treatment as carefully as possible, but that a specific dental result cannot be guaranteed.
The result of treatment depends, among other things, on your oral health, general health, oral hygiene, lifestyle, choice of materials and how well you follow advice.
DentalPro discusses in advance what can reasonably be expected.
- Patient’s own responsibility
Your own contribution is important for good oral health. You are responsible for:
- following DentalPro’s advice;
- maintaining good daily oral hygiene;
- making check-up appointments on time;
- reporting symptoms or changes on time;
- paying invoices on time;
- checking insurance coverage and reimbursement.
- Referral and cooperation with third parties
DentalPro may cooperate with other healthcare providers, dental laboratories, implantology partners, dental hygienists, specialists or other external parties.
If referral or cooperation is necessary, DentalPro will discuss this with you.
Data will only be shared when necessary for your treatment, administration or when you have given consent.
- Privacy and patient data
DentalPro handles personal data and patient data with care.
Data is processed in accordance with DentalPro’s privacy statement and applicable privacy legislation.

- Website information
DentalPro takes care to provide accurate information on the website. The information is intended as general explanation and does not replace personal dental advice.
A personal appointment is always required to assess your own teeth, symptoms or treatment options.
DentalPro may update the website and the information on it when necessary.
- Complaints
Are you dissatisfied with a treatment, invoice, communication or other service? Please contact DentalPro first.
DentalPro will try to handle complaints carefully and in consultation with you.
Complaints and claims must be submitted to DentalPro in writing within 3 months after the complaint or claim has arisen.
Patients who place themselves under treatment at DentalPro and thereby accept these practice terms agree that any liability on the part of DentalPro expires if the complaint or claim has not been brought to DentalPro’s attention in writing within 3 months.

- Liability
DentalPro is liable for damage insofar as this follows from the law.
DentalPro is not liable for damage that arises when a patient has provided incorrect or incomplete information, has not followed advice, has not kept appointments or has postponed necessary follow-up treatment.
Nothing in these practice terms limits the statutory rights of patients.
- Force majeure
DentalPro is not liable if appointments or treatments cannot take place due to circumstances beyond the control of the practice.
This may include, but is not limited to, illness, technical failures, power outages, government measures, emergencies or other unforeseen circumstances.
In such cases, DentalPro will contact you as soon as possible to schedule a new appointment.
- Changes to these practice terms
DentalPro may amend these practice terms when necessary, for example due to changes in legislation, practice operations or services.
The most recent version is always available on the DentalPro website.
- Applicable law
Dutch law applies to these practice terms and to the treatment agreement.
