DentalPro dental practice handles personal data of patients, website visitors and other individuals with care. In this privacy statement, we explain which personal data we process, why we process it, how long we keep it and which rights you have.

This privacy statement applies to the DentalPro dental practice website and to the processing of personal data within our practice.

We only process personal data that is necessary for our services, patient care, administration, communication and legal obligations.

Depending on your contact with DentalPro, we may process the following data:

  • address details;

  • date of birth;

  • information you provide through the contact form or appointment form;
  • patient data and dental health data;
  • data about treatments, check-ups, X-rays and treatment plans;
  • financial and administrative data;
  • insurance details, where necessary for declarations or administration;
  • communication with DentalPro, for example by email or telephone;
  • technical data when visiting the website, such as IP address, browser data and cookie data.

We do not ask for detailed medical information through the website. If you have a medical or dental complaint, it is better to contact us by phone or discuss this during your appointment.

We process personal data for the following purposes:

  • providing dental care;
  • maintaining a patient record;
  • answering questions by phone, email or contact form;
  • performing treatments and check-ups;

  • consent, for example when consent is required for certain cookies or specific data processing;
  • vital interests, only in exceptional emergency situations.

For dental care, we also process health data. This is special category personal data. We only process this data where necessary for proper care and within the limits of applicable laws and regulations.

If you are a patient at DentalPro, we record data in your patient file. This file may include:

  • your contact details;
  • your medical and dental history, where relevant;
  • examination data;
  • treatment data;
  • X-rays;
  • treatment plans;
  • correspondence about your treatment;
  • data required for continuity of care.

We store this data carefully and confidentially. Only employees and practitioners who need the data for their work have access to your file.

DentalPro works under professional confidentiality. This means that we do not share information about you with others without a valid reason.

 

  1. Contact form and appointment request

If you use the contact form or appointment form on the website, we process the data you provide yourself. This may include your name, phone number, email address, subject and message.

We only use this data to contact you, answer your question or process your appointment request.

Do not enter detailed medical information, your citizen service number or other sensitive information in the online form, unless DentalPro explicitly asks for this and provides a secure method.

 

  1. Online appointment planner

If DentalPro uses an online appointment planner, we process the data required to schedule, change or confirm an appointment.

This may include:

  • name;
  • email address;
  • phone number;
  • selected appointment type;
  • date and time of the appointment;
  • any short comment.

If the appointment planner is provided by an external party, such as Microsoft Bookings or another planner, we make agreements with this party about security and the processing of personal data.

  1. Sharing personal data with others

We only share personal data when this is necessary for care, administration, legal obligations or practice operations.

We may share data with:

  • practitioners and employees within DentalPro;
  • dental laboratories, when needed for crowns, bridges, implants or veneers;
  • other healthcare providers, only when necessary for your treatment or with your consent;
  • health insurers or billing/declaration parties, where necessary for declarations or payment;
  • software suppliers and IT service providers;
  • the website hosting provider;
  • email and calendar systems;
  • bookkeeper or accountant;
  • government authorities, only when we are legally required to do so.

Where necessary, we enter into a data processing agreement with parties that process personal data on behalf of DentalPro.

We never sell your personal data to third parties.

 

  1. How long do we keep personal data?

We do not keep personal data longer than necessary for the purpose for which it was collected, unless a legal retention period applies.

Patient records are generally kept for at least 20 years from the last change in the record.

Financial and administrative data are kept in accordance with fiscal retention obligations. For basic administration, this is usually 7 years.

Data from contact forms are not kept longer than necessary to handle your question or request, unless the data becomes part of your patient record or administration.

 

  1. Security of personal data

DentalPro takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and unwanted disclosure.

We provide, among other things:

  • restricted access to patient data;
  • secure systems;
  • appropriate password and access security;
  • careful use of email and digital communication;
  • agreements with external suppliers;
  • careful handling of confidential data.

Although we work carefully, no system can guarantee absolute security. If a data breach occurs, we act in accordance with the applicable rules.

The DentalPro website may use functional and technical cookies. Cookies are small files that are placed on your device when you visit the website.

DentalPro does not use tracking cookies and does not collect personal tracking data from website visitors.
